Additional fees

A $10 late fee will be charged for fees paid after the due date. Holding fee of $10/day after one week for extended absence. Fee for late pick-up is $5 for every 15 minutes.

Fee Policies

  • A nondeductible, nonrefundable registration fee of $25 accompanied by a parent’s schedule must be paid in order to receive the enrollment packet of forms. The fee is good for one school calendar year (fall–summer). The fee will be returned if we are unable to provide care for your child.

  • Child care fees are charged according to the parent’s school or work schedule for an entire month. Bills are prepared on the 1st of the month and fees are due by the 15th of each month. Billing statements for the upcoming year will be generated in the Business Office. Fees must be paid by money order, or check payable to Parent Child Center. Payment must be placed in a billing envelope and handed to an office staff or placed in the proper fee payment drop box. Fees may also be paid at Western’s Business Office (C-131).

  • Fees not paid in full by the 15th of the month will incur an additional service charge of $10.00. Questions concerning your billing statement should be addressed to the director.

  • Fees are charged according to scheduled hours. No refunds are made for days your child is absent, unless your child is sick with one of the communicable diseases (see health policies #8), is hospitalized or Western, UW-L or Viterbo is officially closed. No credit will be given for personal vacation days taken during the school year.

  • Sibling Discount: A family who registers 2 children for full-time care will pay full tuition for the youngest child and will receive a 20% discount for the second child.

  • Outstanding fees will be directed to Western’s Business Office for pursuit of payment according to college policies. The Center reserves the right to cancel enrollment for nonpayment of fees. Financial problems will be dealt with on an individual basis by the director.

  • Parents who will be late in picking up their child after the Center closing time of 5:30 will be charged a late fee of $5.00 per child for every 15 minutes. The late fee is billed immediately and is due immediately.

  • Parents who receive financial assistance for child care will be responsible for any balance of payment due if the funding source does not cover the entire amount.

  • All accounts must be paid in full by the end of the semester in order for child care services to continue for the next semester.

  • The $25 registration fee will be waived for a drop-in child attending less than 5 days in one semester.

  • The Center requires a one-week notice before withdrawing your child. Charges for child care will be made through this one week period.

  • Statements for tax information purposes will be given to parents no later than January 31 of each year. This will include the center’s tax number.

Withdrawal

The parent withdrawing a child is required to notify the director one week prior to leaving the Center. Charges for child care will be made through this one week period according to the child’s scheduled hours.

Until notification of withdrawal is made, child care charges continue to accrue.

Dismissal Procedures

Teachers and parents will work together to make decisions about how to best support children’s development and learning or to handle problems or differences of opinion as they arise.

Upon enrollment a child will complete a four-week probationary period at which point the Center staff will meet with the parents to determine if the program meets the needs to the child’s total development.

The Parent Child Center reserves the right to dismiss a child if the child’s physical, emotional, social or academic needs cannot be met by the staff. At the time of dismissal, the parents will be offered as much assistance as possible in making alternative plans for the child by referring parents to any of the following agencies: family agencies, child guidance, legal aid, public health or vocational rehabilitation.

The center may dismiss a child if the parents are uncooperative in filling out and returning the required forms, paying fees, excessive absenteeism or failure to observe the rules of the Center relating to arrival and departure of the child to and from the Center.

Parents whose children exhibit behavior which is disruptive to the care of other children must be willing to meet with the Center staff to develop a suitable Behavior Plan. Failure to work with the staff in this way will provide reason for dismissal.

Grievance Procedures

When difficulties or differences arise that are not resolved through communication with the staff, parents may request, in writing a grievance conference. The parent(s) will meet with the director, administrator and objective third party to discuss possible resolutions. A written account of the grievance will be kept on file.
